Acceptable Use Policy

Purpose

The nForma is provided to facilitate and manage student-related administrative and educational activities, including:

      • Enrollment, admissions, and academic records management.
      • Attendance tracking and reporting.
      • Communication between students, parents, teachers, and school administrators.
      • Financial transactions, including fee payments and invoices.
      • Other school-related operational and educational purposes.

The nForma must be used solely for these intended purposes in a lawful and ethical manner.

Scope

This Policy applies to all authorized users of the nForma, including but not limited to:

      • Students.
      • Parents or guardians.
      • Educators, teachers, and faculty.
      • School staff and administrators.
      • External service providers or contractors with access to the System.

Users must comply with all applicable Australian laws and regulations when using the nForma, including but not limited to:

Prohibited Activities

The following activities are strictly prohibited while using the nForma:

Unauthorized Access and Use

      • Sharing login credentials with unauthorized individuals.
      • Attempting to access areas of the System for which you do not have explicit authorization.
      • Circumventing or attempting to bypass security measures.

Data Misuse

      • Accessing, sharing, or modifying data without proper authorization.
      • Using personal or sensitive information for purposes other than those explicitly permitted.
      • Falsifying or altering records, such as grades or attendance.

Malicious Behavior

      • Introducing malware, viruses, or harmful code into the System.
      • Disrupting or interfering with the operation of the System.

Inappropriate Communication

      • Using the nForma to send offensive, discriminatory, harassing, or obscene messages.
      • Sharing or distributing content that is unlawful or inappropriate for an educational environment.

Unlawful or Non-Educational Use

      • Using the nForma for activities unrelated to educational or school administrative purposes.
      • Engaging in unlawful activities or breaches of intellectual property rights.

Responsibilities of Users

All users must:

      • Protect Credentials: Maintain the confidentiality of login details and report suspected unauthorized access immediately.
      • Respect Privacy: Access only the information necessary for your role and protect the confidentiality of personal data.
      • Use System Responsibly: Use the nForma solely for lawful and intended purposes.
      • Report Issues: Notify the school or System administrator of technical issues, security breaches, or policy violations.

Data Privacy and Security

The nForma handles sensitive personal and student-related information. Users must:

      • Comply with the Privacy Act 1988 (Cth) and APPs when accessing or handling personal data.
      • Ensure personal information is not disclosed to unauthorized parties.
      • Access only the data necessary to fulfill their educational or administrative role.

Monitoring and Enforcement

The institution reserves the right to monitor nForma usage to ensure compliance with this Policy. Actions may include:

      • Auditing Access: Monitoring login records and user activities.
      • Investigating Violations: Reviewing alleged breaches of this Policy.
      • Enforcing Sanctions: Applying penalties for breaches, including warnings, suspension of access, or other disciplinary actions.

Serious breaches may be reported to law enforcement or regulatory authorities as required by law.

Consequences of Non-Compliance

Violations of this Policy may result in:

      • Temporary or permanent suspension of nForma access.
      • Disciplinary action as per the institution’s policies.
      • Legal action, including penalties under applicable Australian laws.

Children’s Data

As the nForma handles children’s personal information, strict safeguards are in place to ensure compliance with Australian privacy laws, including the Privacy Act 1988 (Cth). Parents or guardians may contact the institution for details regarding the collection, use, and storage of their child’s data.

Third-Party Access

External service providers or contractors with access to the nForma must comply with this Policy and any additional confidentiality or data protection agreements. They are required to:

      • Adhere to the same privacy and security standards as internal users.
      • Use data solely for the purposes outlined in their service agreements.

Reporting Security Incidents

Users must report any suspected security incidents, such as unauthorized access, data breaches, or technical issues, to the System administrator immediately.

Updates to the Policy

This Policy is reviewed regularly to ensure compliance with Australian laws and institutional requirements. Updates will be communicated to all users.
